Out-Of-Town Wedding Guests


0615_080412_CanadaWhen you’re wedding guests travel to your wedding, you may feel obligated to help them get around town and keep them entertained.  Here are some tips to ease them into town without breaking your bank or spending too much time.
Important Details.  Your out of town guests may need a little more information than just that provided in the wedding invitation.  Consider providing them an itinerary of events that they may be included in.  If the travelers are family members, be sure to let them know that they will need to be present for family formals.
Acknowledge Their Attendance.  One of the biggest complaints from wedding guests, especially those traveling, is not having anytime with the bride and groom.  (Click here for the other top guest complaints).  Be sure to take a moment to visit with any guest that has traveled for your wedding.
Lodging.  While the couple isn’t responsible for the fees of lodging for out of town guests, you can still leverage numbers and request group booking discounts at a venue near your reception.  you may event be able to get the hotel to throw in a free night for the bride and groom if enough of your guests book at their location.  Suggested lodging locations can be shared with your out of town guests in a wedding invitation insert.  Be sure to include websites, addresses, phone numbers and cost information for your guests convenience.
Local Interest.  When guests travel to attend your wedding, they may stay in town for a few extra days of vacation.  Providing guests with a list of museums, sports venues, zoos and other spots of local interest.  The list should include the addresses and websites.  If time allows, you can request brochures to include for your out of town guests.
Guest Arrival.  It’s likely that you will have family and friends arriving from out of town.  If they will be depending upon you and your family for rides from the airport, accommodations and entertainment, try to plan for this in advance.  They will appreciate a visit with you, but will understand that you still have things to take care of.  Acting as the official welcome to your festivities is a great job for the parents of the bride and groom.
Welcome Treats.  Weary travelers will be thrilled when they receive a welcome basket upon their arrival.  These can be made in advance and delivery arranged with the hotel.  Many couples choose to add some snacks, a welcome letter, and local interest information.  The baskets can also have be in keeping with your wedding theme or items specific to your location.  Detroit wedding welcome baskets could include Faygo, Bettermade, Morley and Michigan wines.  Chicago wedding welcome baskets might include deep dish pizza vouchers, Garrett popcorn, and 312 beers.
